Viewing and Managing Submissions

Every time someone fills out your form, the data is saved as a submission in your WordPress dashboard. The Submissions page is your central hub for reviewing responses, following up with leads, and keeping track of everything that comes through your forms. Think of it as your inbox for form data — it is where all your responses live, organized and searchable.

Managing submissions effectively means you never miss a lead, never lose track of a request, and always know how your forms are performing.

How to View Submissions

  1. Go to Fillin Forge > Submissions in the left sidebar.
  2. Use the dropdown at the top of the page to select which form’s submissions you want to view.
  3. The list shows each submission with the date, key field values (like name and email), and status.
  4. Click View on any submission to open a popup showing every field and its submitted value.
  5. Choose how many submissions to show per page: 10, 20, 50 or 100. The list shows the newest first and has no status filter, date range or search.

Submission Actions

Each submission in the list has several actions available:

ActionWhat it doesWhen to use it
ViewOpens a popup showing every field and its submitted valueQuick review of any submission
PDFDownloads a formatted PDF file for the submissionFiling records, sharing with team members, attaching to CRM
DeletePermanently removes the submissionTest entries or submissions you no longer need

Understanding Submission Statuses

StatusWhat it meansWhat to do
NewThe visitor successfully completed and submitted the formReview and follow up as needed
AbandonedThe visitor started filling out the form but left before submitting (PRO)Review partial data — these are potential warm leads
TestAn entry created from the form builder to try the formNothing to follow up; no webhook, integration or event runs for it

Spam has no status of its own: a submission that fails the anti-spam checks is rejected and is not saved.

Deleting and Exporting

The list has no checkboxes and no bulk actions. Delete submissions one at a time with the Delete button of a row; deleting a submission also deletes the files uploaded with it. To get the submissions of a form out of the dashboard, use Export CSV or Print / PDF above the list. Neither includes test submissions, and Print / PDF also leaves out abandoned drafts and stops at 500 submissions.

Real-world example: You are the marketing manager at a software company. Every Monday morning, you go to Fillin Forge > Submissions, pick the demo request form, and review the newest submissions at the top of the list. You export the form to CSV and import the file into your CRM so the sales team can follow up.

> Tip: Check your submissions regularly — at least as often as you check your email. Fillin Forge sends notifications, but having a habit of reviewing submissions directly ensures nothing falls through the cracks and gives you a better sense of overall volume and quality.

> Good to know: Submissions are stored in your WordPress database, not on an external server. They stay there until you delete them, and they are included in your standard WordPress backups. If you turn on a Pro integration, the data it needs goes on to that service. For Telegram, WhatsApp, Mailchimp, HubSpot, Google Sheets and Google Calendar it passes through our API on the way; we relay it and do not store its content. You always have full control over your data.

Common Mistakes to Avoid

  • Ignoring abandoned drafts (PRO). A visitor who left the form half filled may still be a lead, so look at them from time to time.
  • Letting submissions pile up without follow-up. A lead that is three days old is worth far less than a fresh one.
  • Deleting submissions you might need later. Export to CSV first if you want a clean dashboard but need to preserve the data.
